Where do we use your billing information? See how to choose it for a booking, how to change who receives our invoices, and how we check your VAT number.
How does billing information work on Flatio?
Billing information is the name and address of the person or company that rents out your property. For a company, it also includes the company ID and the VAT number. We use it in two places:
- Lease agreement – the agreement between you and your guest.
- Invoices from Flatio – our monthly invoices for the host fee.
You can manage your billing information in the My Rentals web app. Click your name in the top right corner and go to Billing information. You can add billing information for more than one person or company – for example, for yourself and for your company.
Choosing billing information for a booking
Every new booking request gets your default billing information automatically. You can also set different default billing information for each listing in the listing details.
Before you accept a booking request, check the billing information in the booking details. To use other billing information, click Change.
When you accept the request, we put this billing information on the lease agreement. Our invoices for this stay go to the same billing information, unless you change it.
How we invoice the host fee
We deduct the host fee when we send you the rent. At that moment, we save two things with the payment: the billing information chosen under Invoices from Flatio in the booking, and its VAT rate on that day. On the first day of each month, we issue invoices for the host fees we deducted in the previous month.
You get one invoice for each set of billing information. So if your bookings use different billing information, you get more than one invoice.
Changing the billing information for invoices from Flatio
Our invoices don't have to use the same billing information as the lease agreement. For example, the lease agreement is in your name, but you want us to invoice your company. You can change it at any time, even during the stay. We use the new billing information for every host fee we deduct after the change.
If you change it during the month, we also invoice the host fees we already deducted this month to the new billing information – but only if it has the same VAT rate as the old one. If the VAT rate is different, we invoice those fees to the old billing information. We can't change an invoice after we issue it.
- If you need new billing information, go to Billing information, click Add and fill it in.
- Go to Bookings and open the booking.
- In the Billing information section, click Change under Invoices from Flatio and choose the billing information.
Do this for each booking that should use the new billing information.
The billing information on the lease agreement stays the same. If you need to change it, contact our support team.
Editing your billing information
You can change all details of billing information until it is on a lease agreement or chosen for invoices from Flatio. Click Edit next to it.
After that, you can't change its name, address or company ID. Lease agreements and invoices keep the details they were made with. That's why you see Show instead of Edit next to it. If it belongs to a company, you can still change its VAT number: click Show, enter the new VAT number and click Save.
Have other details changed, for example your company's address? Add new billing information and set it as default. Then use it for our invoices in your current bookings – see Changing the billing information for invoices from Flatio. You can archive billing information you no longer use, except your default billing information.
How we check your VAT number
When you save a VAT number from an EU country other than the Czech Republic, we check it in the EU VIES database. After that, we check it again regularly.
- Valid in VIES – we invoice the host fee without VAT, in reverse charge mode.
- Not valid in VIES – we add VAT at your country's rate.
A changed or removed VAT number applies from the first day of the next month. That way, all invoices for one month have the same VAT rate. A VAT number you add for the first time can apply from today – unless we have already deducted a host fee this month. If the change starts later, we show you the date when you save the number.
Hosts in the Czech Republic always pay 21% VAT on the host fee. Hosts outside the EU pay no VAT. You can find the VAT rates of all EU countries in How much is the host fee that Flatio charges for its services?
What if my VAT number is no longer valid?
If your VAT number is no longer valid in VIES, we send you an email and show a notice in My Rentals. You then have at least 30 days to fix it. The email shows the last day. If the number is still not valid in VIES on that day, we add VAT at your country's rate to the host fee from the next day.
What you can do depends on your situation:
- Is your company registered for VAT only in your own country? Then also register it for trade with other EU countries. Your VAT number appears in VIES only after this registration. When the number is valid in VIES, save it again in your billing information.
- Should our invoices go to another person or company? Change the billing information for invoices from Flatio – see Changing the billing information for invoices from Flatio.
- Is your company not registered for VAT? Remove the VAT number from your billing information. We then add VAT at your country's rate to the host fee from the first day of the next month.
